Team player will be responsible for supporting attorneys and occasional work overflow. Legal Assistant Responsibilities

  • Manage case and attorney calendar
  • Type, format and proof complex legal documents
  • Prepare new business records and client engagement letters
  • Input and edit via time management system
  • Organizational and file management
  • Client billing and invoicing
  • Direct communication with clients
  • Research on as-needed basis
  • Electronic filing, scanning and e-mails
  • Support 3-4 attorneys with occasional overflow work

Legal Assistant Requirements:

  • College or equivalent experience
  • Proficiency using Microsoft Suite
  • Familiarity with time management systems
  • Online research skills
  • Ability to prioritize workload and multi-task
  • Attention to detail
  • Strong organization and interpersonal communication skills (oral and written)
  • Accounting software helpful
  • Strong English and grammar skills
  • Monday through Friday 9:00 A.M. to 5:00 P.M.

Billing Manager (5-7 years)

Team player will be responsible for managing billing process workflow including new business intake, and client billing. Also responsible for troubleshooting complex issues, billing metrics and reporting; supervising and serving as back-up to Billing Coordinators. Billing Manager Responsibilities:

  • Oversee firm-wide billing process
  • Assign work to Billing team
  • Manage assignments to ensure inquiries and projects are responded to accurately and timely
  • Maintain Finance database to ensure the accuracy of billing information
  • Maintain rate schedules and client billing guidelines
  • Recommend policies and procedures to ensure consistency and standardization of billing processes
  • Participate in month end closing, including running monthly proformas and billing attorney reports
  • Prepare billing and productivity analyses for clients, business development Request for Proposals, and internal management
  • Manage, train, oversee, evaluate and provide performance feedback to Billing Coordinators
  • Act as a liaison with Firm management
  • Assist attorneys with technical and client billing issues

Billing Manager Requirements:

  • Bachelor’s Degree. Will consider billing management experience in lieu of degree
  • 5 to 7 years of related experience
  • Elite and electronic billing experience

Billing Manager Preferred:

  • Law firm experience

Billing Manager Skills:

  • Demonstrated leadership and supervisory skills
  • Strong technology skills, including third party E-billing software and an ability to leverage technology in work processes and keep up with technology changes
  • Strong working knowledge of Microsoft Office Suite, in particular Excel and Word as well as Adobe and Nuance
  • Ability to break down and explain the e-billing process
  • Knowledge of legal terminology
  • Strong written and oral communication skills with ability to effectively communicate with all levels of personnel both by telephone and face-to-face
  • Strong organization skills with attention to detail and accuracy
  • Ability to multi-task and prioritize under pressure
  • Strong analytical and problem resolving skills

Administrative Assistant (5 years)

The Philadelphia office of Schnader Harrison Segal and Lewis LLP, a prominent national law firm, seeks a team orientated administrative assistant to provide administrative and secretarial support to a very busy Senior Partner in its Tax and Wealth Management Department. The Partner’s practice includes estate planning, estate and trust administration, charitable giving, private foundations and planning for closely held businesses. Additional administrative and secretarial support to the department’s attorneys and staff members will be required as necessary.

Duties:

  • Coordinate, confirm and calendar all meetings, client visits, travel and special events; arrange for conference rooms and catering as needed
  • Compose and proofread correspondence; scan and save all attorney notes related to client business into Matter Centricity
  • Monitor phone calls; respond to and assist clients by answering questions, providing information and follow-up; set daily voicemail and email out of office information
  • Monitor email, handle as necessary; save into Matter Centricity
  • Transcribe dictation
  • Enter attorney time
  • Prepare and send faxes
  • Prepare New Business Records and Engagement Letters
  • Process personal bill payments for several clients; record in Quicken
  • Prepare monthly billing cover letters, coordinate client billing with Billing Department
  • Reconcile reimbursements for travel and client meetings; prepare check requests for payment
  • Monitor CLE compliance for multiple jurisdictions
  • Cover reception desk occasionally

Requirements:

  • High school diploma or GED required, with some college preferred
  • 5+ years of administrative experience in fast-paced environment
  • Ability to work over-schedule when required

Skills:

  • Excellent organizational, communication and problem solving skills
  • Demonstrated high attention to detail and accuracy
  • Ability to proofread typed material for contextual, grammatical, typographical or spelling errors
  • Ability to work independently with an enthusiastic attitude and as part of a team
  • Ability to multi-task
  • Ability to calmly handle pressure and be flexible
  • Working experience and proficiency using MS Office Suite
  • Transcription skills helpful
