  • Accounts Payable Coordinator

    Schnader Harrison Segal & Lewis LLP, a national law firm, seeks to hire an entry-level, team-oriented individual who, under the Manager of Client Accounting Services, will perform a variety of time-sensitive accounts payable transactions by interacting verbally with clients and internal staff/attorneys.

    Responsibilities: 

    • Review check requests for invoices and cost related expenses; check for approvals, receipts and correct coding 
    • Ensure check requests conform to Firm policy and procedures 
    • Enter check requests into the Elite 3E system 
    • Print checks, acquire approval and mail to vendors, internal staff/attorneys 
    • Enter soft costs, postage, and courier expenses into Elite 
    • File check request backup in accordance with the existing practice upon completion of check processing 
    • Assist with Escrow transactions, as needed

    Requirements: 

    • High School diploma or equivalent 
    • One year of Accounts Payable experience preferably in a law firm or professional services environment 
    • Elite 3E experience is a plus

    Skills: 

    • Basic knowledge of Microsoft Word and Excel 
    • Basic Math skills 
    • Ability to type with accuracy 
    • Strong proofreading skills for text, grammar and spelling 
    • Strong organization skills 
    • Ability to multi-task, prioritize work to meet deadlines 
    • Strong interpersonal and customer service skills

  • Estate Administrator (5 years)

    Seasoned full-time Estate Administrator sought for long-established, team-oriented law firm located in downtown Philadelphia. Team player will be responsible for administering client estate plans, insuring proper execution of plan by handling the distribution and disposition of assets, providing asset valuations and financial information for tax returns as well as preparing county probate and administration filings. Seeking a positive individual who can work independently, is a self-starter, regularly demonstrates initiative, is highly motivated, flexible with work assignments and works well with people.

    Responsibilities: 

    • Work directly with attorney, family or executor to determine and administer estate plans in compliance with will and trust documents (estate documents) 
    • Analyze estate documents, tax returns and family records to identify assets and tax issues 
    • Prepare documents for probate and accompany executor to probate at Register of Wills 
    • Initiate life insurance claims 
    • Prepare documents to transfer or sell automobiles 
    • Establish estate or trust accounts by paying expenses, bequests and distributions; funding trust accounts and executing brokerage account trades and wiring funds 
    • Hire industry specialists to perform the valuation of estate assets for death tax purposes 
    • Assist attorney to purchase, sell or rent client real estate 
    • Provide financial information required to prepare income and death tax returns 
    • Estimate and review inheritance tax liability 
    • Audit income and fiduciary income tax returns prior to attorney review; file returns and pay taxes 
    • Assist attorney to direct the distribution of estate assets 
    • Establish and manage Grantor Retained Annuity Trust accounts; notify trustee of distribution window 
    • Compile and review reporting records; manage court accounting and communicate with the Register of Wills and Orphans Court for filing requirements and fees

    Requirements: 

    • Bachelor’s degree required 
    • 5 - 7 years of estate administration experience required 
    • Strong math aptitude with the ability to calculate, review and approve estimates and returns 
    • Proficiency using Microsoft Office Suite including Word and Excel required 
    • iManage experience preferred

  • File Clerk (3 years)

    Schnader Harrison Segal & Lewis LLP, a national law firm, seeks to hire an entry-level, team-oriented individual to be responsible for maintaining and organizing files; processing and maintaining file records; filing and retrieving documents for attorneys, fiduciary administrators and tax accountants; preparing files for storage as well as updating and maintaining departmental spreadsheets.

    Requirements:

    • Three years of related experience preferably in a law firm environment

    Skills: 

    • Basic knowledge of Microsoft Word, Outlook, Excel and Access 
    • Strong spelling skills 
    • Ability to type 40 wpm with accuracy
